Create a digital receptionist
Set up a phone menu like “Press 1 for sales”.

| What you need | Affects |
|---|---|
| Admin access to the 3CX Admin Console, and a greeting recording (or text for 3CX to read) | Callers who reach the menu |
| Use a digital receptionist when | Skip it when |
|---|---|
| Callers need to choose between departments. | Most calls go to one team. A ring group or queue is faster for callers. |
1. Create it
- Add a digital receptionistIn the Admin Console, open Call Handling (or Digital Receptionist) and click Add.
- Number and nameKeep the suggested extension number and give it a name such as Main menu.
- GreetingUpload a recording, record one by phone, or type text for 3CX to read. Keep it short: "Thanks for calling. For sales press 1, for support press 2."
2. Set the options
- Key pressesSet each key to a destination: an extension, ring group, queue or voicemail.
- No inputChoose where the call goes if the caller presses nothing, usually reception or a ring group.
- Dial by extensionAllow callers to dial an extension directly if they know it.
- SaveClick Save.
3. Send calls to it
Point your main number at the digital receptionist in your inbound routing, then call it from a mobile and try every option.
Troubleshooting
| Problem | Likely cause and fix |
|---|---|
| Callers hear silence | The greeting file may be the wrong format. Re-upload it as a WAV file. |
| A key does nothing | That key has no destination set. |
| Callers get stuck in the menu | Set a no-input destination and shorten the timeout. |
